AI for Hair & Beauty Salons

Answer the Phone While Everyone’s Hands Are Busy, and Keep the Diary Full

A salon’s phone rings hardest when every stylist and therapist is mid-appointment, so bookings go to voicemail and the gaps left by late cancellations stay empty. We build AI phone answering, booking chat and reminder automation that takes those bookings into the system you already use, follows your own rules on patch tests and deposits, and hands anything that needs a professional judgement to your team.

The Problem

Where a salon loses time and customers

The phone rings when nobody can answer it

Colour, cut and treatment appointments keep hands busy for an hour or more at a time. The calls that come in then are often new clients, and a caller who reaches voicemail usually books somewhere that picks up.

Colour bookings depend on a patch test being done first

The NHS advises a patch test before any permanent or semi-permanent hair dye, even a brand someone has used before, and notes that a reaction can take up to 72 hours to appear. A booking system that lets a new client straight into a colour slot without your patch-test step creates exactly the risk that step exists to prevent.

No-shows and late cancellations leave gaps nobody has time to fill

A missed appointment is an hour of a stylist’s day with nothing in it, and working a waiting list by phone between clients rarely happens in time to rebook it.

Deposits and cancellation charges have to be fair, not just firm

The Competition and Markets Authority’s guidance on unfair contract terms, under the Consumer Rights Act 2015, is that what a business keeps when a customer cancels must reflect what it actually loses and must not be excessive. A policy an agent quotes has to be the one you have set, stated clearly, every time.

What We Build

AI solutions for hair & beauty salons

AI Phone Answering That Books Into Your Diary

Answers enquiry calls and, where an authorised booking interface is available, books, moves and cancels appointments in your booking system, and applies your own rules — patch test first for new colour clients, the right slot length for each service, your deposit policy — handing anything it cannot settle to your team.

AI Voice Agents pricing and details

Website, Instagram-Linked and WhatsApp Booking Chat

Takes bookings and answers questions about services, durations, aftercare timings and opening hours from your own salon information, around the clock, with the same rules as the phone.

AI Chatbot Development pricing and details

Reminders and Cancellation Backfill

Sends appointment reminders, and when a slot opens up, offers it to clients on your waiting list in order until it is taken. The ICO treats appointment reminders as service messages rather than marketing, so we keep them free of promotions unless a client has agreed to hear about offers.

Connected to the Booking System You Already Run

Reads and writes appointments in the salon software you already use, to whatever interface it actually exposes, so your team keeps one diary rather than two.

  • Live booking where authorised access permits, otherwise a staff confirmation queue
FAQ

Questions hair & beauty salons ask us

Will it book a new client straight into a colour appointment?

Only if your salon’s rules allow it. It is built around your patch-test policy: a new colour client, or anyone your policy says needs a fresh test, is booked in for the test first and offered colour slots on or after the interval you set. The NHS advises a patch test before any permanent or semi-permanent dye, and the agent never overrides that step.

Can it take deposits and charge for no-shows?

Where separately scoped and authorised, it can direct a client to your booking system’s payment step and quote your cancellation terms, but it applies the policy you set rather than deciding one. The CMA’s guidance is that any charge kept on cancellation must reflect what you actually lose and not be excessive, so we recommend reviewing the policy before it is automated, and the agent never waives or invents a charge on its own.

Does it advise on treatments, skin or suitability?

No. It books, reschedules and answers practical questions about times, prices your team has published, and aftercare instructions you have written. Anything about whether a treatment suits someone goes to a stylist, therapist or practitioner. For aesthetic treatments that is more than a courtesy: the government has set out plans, under powers in the Health and Care Act 2022, to license some non-surgical cosmetic procedures and restrict the riskiest to regulated healthcare professionals.

Are reminder texts allowed without extra consent?

Appointment reminders are service messages, and the ICO’s guidance is that they are not direct marketing, so they do not need marketing consent. That changes the moment a message pushes an offer or a new service, so we keep reminders to the appointment and send promotions only to clients who have agreed to them.

How is this quoted, and where should a salon start?

As a fixed price after a free discovery call. What moves the scope is how many chairs and sites you run, whether your booking system exposes a live interface, and whether you want reminders and backfill as well as call answering. Most salons start with phone answering, because the missed mid-appointment calls are where the bookings leak.

What the discovery call actually is

Thirty minutes, free, no obligation and no salesperson. You describe what is costing you time or customers, we ask about the systems involved, and you leave with an honest view of whether this is worth doing. We regularly end that call by saying the tool you already pay for covers it.

You own the result

The code, the repository and the accounts are set up in your company name rather than ours, and they are yours on completion and full payment. Nothing runs on infrastructure we control, so ending the relationship does not end the thing we built.

A fixed price, never a day rate

Every project is quoted as a fixed price with a written scope after the call, so an over-run is our problem rather than yours. If the scope changes, we say so and re-quote before doing the work, not after.

Where your data sits

In the UK or EU, under a data processing agreement, kept only as long as you specify. Any model provider we rely on is named as a sub-processor rather than left implicit, and we will tell you plainly where something you have asked for would put a commitment of yours at risk.

What happens when it goes wrong

Agreed before launch rather than negotiated during an incident: what is covered, how quickly we respond, and what counts as new work. Every build has a defined escalation to a person, because the failure that costs you is the one nobody noticed.

Two things you can check

Big Berri Limited is registered in England and Wales, company number 16562429, and registered with the Information Commissioner's Office under reference ZC119995. Both are public registers. Look us up rather than taking our word for it.
