AI for Care Homes

Answer Every Family Enquiry Without Taking Staff Off the Floor

A care home answers the phone all day to people who are anxious, and does it with staff who are needed somewhere else. We build call answering, enquiry handling and admin automation for CQC-registered providers in England, designed around two things that must never be got wrong: a safeguarding concern reaching a person immediately, and nothing touching a resident record that should not.

The Problem

Where a care home loses time and customers

Family enquiries arrive at the worst moment

Prospective families ring during handover, medication rounds and mealtimes. The calls are long, emotional and important, and a manager pulled off the floor to take one is not doing the job they were pulled away from.

The same twelve questions, every week

Visiting hours, fees and what they cover, what to bring, whether a room is available, how the assessment works, what happens next. All answerable from what you already have written down, and all currently answered by a person.

Recruitment competes with the day job

Skills for Care reported an adult social care vacancy rate of 6.2% in 2025/26 — the lowest in a decade, but still roughly three times the wider economy. Every applicant who is not contacted quickly goes elsewhere, and chasing them sits with whoever has a spare hour.

Evidence for inspection is assembled, not collected

CQC evidence tends to be gathered in a rush before an assessment rather than accumulated as it happens, because the systems that hold it do not talk to each other.

What We Build

AI solutions for care homes

Call Answering With Safeguarding Escalation

Answers every call, handles routine family and enquiry questions, and recognises the language of a safeguarding concern, a resident emergency or a complaint to hand straight to the person on call — following the escalation route your registered manager approves, never a script of ours.

AI Voice Agents pricing and details

Enquiry and Pre-Assessment Assistant

Answers website enquiries at the hour families actually research, which is rarely office hours, collects the details your assessment needs, and books a visit. It states what it is, and it never estimates fees or availability it has not been given.

AI Chatbot Development pricing and details

Recruitment and Compliance Chasing

Chases applicants, references, DBS progress and mandatory training renewals on the schedule you set, so the follow-up happens whether or not anyone had a spare hour. Escalates to a named person rather than closing a loop on its own.

Joining Up What You Already Run

Connects enquiry and admin workflows to your existing systems rather than replacing them, working to whatever interface your digital social care record supplier exposes and to the boundaries your DSPT submission commits you to.

Outcomes

What changes for your care home

  • Every family enquiry answered, including evenings and weekends when families research
  • Managers pulled off the floor for genuine escalations rather than opening hours
  • Applicants contacted while they are still interested
  • Routine chasing of references, DBS and training renewals done on schedule
  • A written record of who was told what, and when, that accumulates rather than being assembled
FAQ

Questions care homes ask us

Will this touch our resident records?

Not unless you ask for it, and we would advise starting where it does not. The work that pays back fastest — family enquiries, recruitment chasing, routine questions — sits entirely outside the care record. If you do want systems joined up later, the constraint is what your digital social care record supplier exposes, and that is a conversation with them as much as with us. NHS England publishes an assured solutions list for digital social care records, and suppliers on it include Person Centred Software, Birdie, CareDocs, Access Care, CareLineLive, Cura and QCS.

How does this fit our CQC assessment?

It should make evidence easier to produce rather than adding a system to explain. The fundamental standards under the Health and Social Care Act 2008 remain the basis of assessment and enforcement, and CQC has said it is moving from a single assessment framework to frameworks specific to each sector it regulates, with the final version due to be published in summer 2026 and implemented by the end of that year. Because the timetable is moving, we build so that what the system records — who called, what they were told, what was escalated and when — is exportable and readable, rather than assuming any particular framework.

What about the Data Security and Protection Toolkit?

It applies to you and it is not optional. Completing the DSPT is a legal requirement for CQC-regulated adult social care providers in England under the Health and Social Care Act 2012 as amended by the Health and Care Act 2022, and it needs completing at least annually, by 30 June, at Standards Met. If you want to reach a GP record you also need an assured digital social care record solution and a signed National Data Sharing Agreement. We design to sit inside those commitments, and we will tell you plainly where something you have asked for would put them at risk.

What must the AI never do?

Give clinical or medication advice, make any judgement about a resident, handle a safeguarding disclosure itself, accept or refuse an admission, quote fees it has not been given, or continue a conversation when the caller is distressed and asking for a person. The escalation route is designed before the conversation flows, and a request for a human ends the automation immediately. That list is yours to extend: we write a first draft from your policies and your registered manager corrects it.

How is this quoted, and where should we start?

As a fixed price after a free discovery call, never a day rate, with a one-off build and a monthly support fee. What moves the scope is how many homes you run, whether the work stays outside the care record, and how many of your systems it has to reach. Almost every provider should start with call answering and enquiry handling, because both sit outside the resident record, prove themselves in weeks and need no integration to be useful.
